Gathering Registration

Registration Fee:

• Early Bird: Before July 15, 2008, the fee is $190 per adult and $90 per child under the age of twelve.



• Normal: From July 15 through September 18, 2008, the fee is $210.00 per adult and $100.00 per child under the age of twelve.

Cancellation Policy:

• Full refunds will be made for cancellations phoned or received on or before August 31, 2008.



• Full refunds minus a $50.00 per person processing fee will be made for cancellations phoned or received between September 1 and 10, 2008.



• Meal and other per-person expenses cannot be cancelled after September 10, 2008. No refunds will be made for cancellations phoned or received on or after September 11, 2008.

Special Needs: So that we may accommodate your special needs, please indicate visual, hearing or other impairments, diet restrictions, or other special needs in the space provided on the Registration Form. Note, however, that if you require a handicap-accessible room, you must arrange this directly with the hotel when you make your room reservation.

Hotel Reservations

NOTE: Hotel accommodations are not included in the gathering's registration fee.

Room Rates: We have reserved a block of rooms at a discounted rate at the Hampton Inn Winchester-North at Berryville Avenue for the nights of September 18-20, 2008. The reduced rate for a single or double room is $70 plus tax with no additional charge for children under age 18. Additional adults are $10 per adult per night. This rate is available on a first-come-first-served basis.

Making Your Reservation: When you make your lodging reservation, please call the hotel directly at +1 540.678.4000 and identify yourself as a member of the Clan Ewing group so that you receive the discounted rate. Your reservation will be attributed to the gathering and the charges for the gathering's group events will be minimized. Please do not call the Hampton Inn's reservation center (an 800 number) because your reservation will not be counted in the rooms set aside for the Clan Ewing gathering. The reduced rate will be available only until the block is filled or September 11, 2008, whichever comes first. After that date you may be charged the full rate. It is important to make your reservation as soon as possible because there are other events in the Winchester area during the weekend of the gathering.

Arriving Early? Leaving Late?: If you want to come early (check in before the 18th) or stay late (checkout after the 21st) you should receive the discounted rate when you make your reservation. Please contact Barbara McGuinness (+1 330.830.8870) if you have any difficulty receiving the discounted rate.

Handicap Rooms: A few handicap-accessible rooms are available. If you require one, you must request it when you make your room reservation.

Reservation Cancellations: Lodging reservation cancellations must be made prior to 6 PM on the anticipated day of arrival.

Amenities: Every room at the Hampton Inn Winchester-North at Berryville Avenue has a hair dryer, coffee maker, microwave, refrigerator, iron and full size ironing board, wireless high-speed internet access, and complimentary in-room movie channel. Elevator service and a fitness center are available. There is a guest laundry on the premises, and same-day valet service is available Monday-Friday. A complimentary hot breakfast is available in the lobby, and coffee and tea are available twenty-four hours a day. USA Today newspapers are available Monday-Friday.

Travel Considerations

Getting To/From Winchester: Washington Dulles International (IAD) is the major airport closest to Winchester. In making flight arrangements, please remember that traffic can be very heavy at any time of day for a variety of reasons. The distance between IAD and Winchester is roughly fifty-five miles, but travel time can often be close to three hours. Therefore, if you plan to fly out of IAD in the early morning (for example, 7 AM), you may have to leave the hotel as early as 2:30 AM to clear security in time for your flight.

Transportation Between Dulles Airport and Winchester: Transportation between IAD and Winchester is available by rental car or AES Limousine Services. If you choose limousine service, please ask for Mike or John at +1 800.832.6561. Reservations may also be made via EMail by contacting brenda at aeslimo dot com. Confirmation will be sent via EMail. Reservations must be made no less than 72 hours prior to date of needed service in order to guarantee availability of car. Between the pick up hours of 6 AM and 10 PM a rate of $105 cover three people and luggage plus parking, tolls, service fees, and gratuity. AES will try to consolidate reservations so as to reduce the per-person charge. Fees are higher for pickups between 10 PM and 6 AM. Prices will be quoted on an individual basis for late and early arrivals and departures. Infants require their own seat.
